Write a Leadership Reinforcement Talk Track

Purpose

This resource helps Leaders and Activators translate AI adoption progress into language that Executive Sponsors, managers, and teams can actually use.

Why it Matters

Consistent reinforcement helps leadership understand why the workflow matters, what behavior they should support, and what action they should take next.

How to Use It

Use the prompt and instructions below to generate three aligned talk tracks:
  • An Executive Sponsor talk track
  • A manager enablement talk track
  • A manager-to-team talk track
The resource works best when you anchor the output in one workflow, one credible proof point, and one clear reinforcement ask.
Start with a workflow that has been tested with real users and is showing a credible signal of value. This might be repeat use, less time or rework, a better-quality output, stronger follow-through, or another observable improvement in the work.
Common Failure Mode: Do not use this resource to promote a workflow broadly if it has not yet been tested with real users or if the available evidence does not support the behavior or outcome you want leaders and managers to reinforce.

What counts as a credible signal of value?
Examples
A credible signal of value is evidence from real use that shows the workflow is changing behavior, improving the work, or producing a useful result. It does not need to be a fully validated business outcome yet, but it should be specific, observable, and grounded in actual use.
  • People are using the workflow repeatedly rather than trying it once.
  • A task takes less time or requires fewer steps, handoffs, or revisions.
  • The output is clearer, more complete, or more consistent.
  • Users are able to complete work they previously avoided or needed help with.
  • A manager or team reports that the workflow improves visibility, decision-making, or follow-through.
  • The workflow reduces rework, errors, risk, or duplicated effort.
  • A team asks to keep using, adapt, or expand the workflow.
  • An early customer, employee, or business result can be connected to the workflow without overstating causation.

Use the instructions below to generate aligned talk tracks that tell each audience what matters, what they should reinforce, and what they should do next.
Champions can use the output to brief Executive Sponsors and managers on why the workflow matters, what support is needed, and how leadership can reinforce adoption.

Skill Spec

Act as an AI adoption reinforcement talk track builder.

Your job is to turn the workflow and impact information I provide into three practical talk tracks:

1. An Executive Sponsor talk track
2. A manager enablement talk track
3. A manager-to-team talk track

Base everything on the specific workflow and evidence I provide. Do not invent claims, ROI, or adoption outcomes that are not supported by the input.

If the evidence is limited:

* Clearly distinguish what is known from what is inferred.
* Keep the language adaptable.
* Avoid recommending broad reinforcement or expansion until the workflow has been tested with real users and the available evidence supports the message.

Write for practical, real-world use—not as a recap.

What to Optimize For

* Language that a Leader or Activator can actually use
* Language that makes each audience’s role clear
* Language tied to one named workflow, not AI in general
* Specific reinforcement actions rather than vague sponsorship language
* Outputs brief enough to say aloud in approximately 60 to 90 seconds
* A clear connection between the workflow evidence, the behavior to reinforce, and the action needed next
* Messaging that matches the maturity of the workflow and does not overstate readiness or impact

Inputs I Will Provide

* Role using this builder: Leader or Activator
* Workflow or use case
* Who is using it today
* How the workflow has been tested
* What changed in the work
* Why that change matters
* Best proof point or signal of impact
* What is known versus inferred
* What behavior we want to reinforce
* Where adoption is stalling
* What we need from the Executive Sponsor
* What we need managers to reinforce
* Tone or culture notes

Return the Output in This Structure

Executive Summary

Provide two to four bullets covering:

* The workflow
* The clearest impact signal
* The current reinforcement gap
* The action needed next

Executive Sponsor Talk Track

* Full talk track
* Three specific reinforcement actions
* Two likely questions the Executive Sponsor may ask
* The decision, message, or blocker-removal action needed next

Manager Enablement Talk Track

* Full talk track
* Three manager actions to reinforce
* Two likely objections or points of confusion
* The behavior managers should model, ask about, or make time for

Manager-to-Team Talk Track

* Full talk track
* Three cues for when the team should use the workflow
* Two blocker questions the manager should ask the team
* One clear next action for the team

Optional Short Versions

* 30-second Executive Sponsor version
* 30-second manager version
* 30-second team version

Champion Notes

* What to customize before using the talk tracks
* Which claims or proof points require validation
* What evidence to keep updating over time
* Who should deliver each talk track
* Whether the workflow is ready for broader reinforcement or should remain a limited test

Input Template

Role using this builder:
[Leader or Activator]

Workflow or use case:
[Name the specific workflow or use case.]

Who is using it today:
[Describe the team, function, or user group.]

How the workflow has been tested:
[Describe who tested it, in what context, and whether it has been used in real work.]

What changed in the work:
[Explain what is different in how the work is completed.]

Why that change matters:
[Connect the change to quality, speed, employee experience, customer impact, risk reduction, or business value.]

Best proof point or signal of impact:
[Provide the strongest available evidence from real use. This might include repeat usage, time saved, fewer steps or revisions, improved quality, reduced risk, stronger follow-through, positive user feedback, or an early business result. Avoid hypothetical estimates or claims that have not been validated.]

What is known versus inferred:
[Separate direct evidence from assumptions or early interpretation.]

What behavior we want to reinforce:
[Name the specific behavior people should repeat or adopt.]

Where adoption is stalling:
[Describe the point of friction, confusion, or inconsistent follow-through.]

What we need from the Executive Sponsor:
[Name the specific decision, message, priority, or reinforcement action needed.]

What we need managers to reinforce:
[Describe what managers should say, model, ask about, or make time for.]

Tone or culture notes:
[Add any language, sensitivities, or organizational context the output should reflect.]

Step-by-Step Guide

  1. Champion chooses one workflow that has been tested with real users and is producing a credible signal of value.
  1. Champion validates that the available evidence supports the behavior or outcome you want leaders and managers to reinforce.
  1. Champion completes the input template with the clearest evidence available.
  1. Champion separates what is known from what is inferred so the generated messaging does not overstate impact or readiness.
  1. Champion pastes the skill spec and your completed inputs into ChatGPT.
  • Customize/adapt the Skill Spec as needed with your organization-specific terminology, leadership language, and manager expectations as needed
  1. Champion reviews the three talk tracks and remove or revise any language that is not sufficiently supported by your evidence.
  1. Exec Sponsors and Managers use the talk tracks in the relevant org-wide, departmental, and/or team meetings.

Expected Outcome

A strong set of reinforcement talk tracks should help organizations reinforce the same workflow consistently across leadership, managers, and teams.
The result should be:
  • A clearer message and stronger reinforcement from the Executive Sponsor
  • More consistent manager reinforcement of the workflow and the behavior needed to sustain it
  • Greater team understanding of when and how to use the workflow
  • Better evidence about what is working, where adoption is stalling, and whether the workflow is ready to expand
