Self-serve checklist to set up a district-managed ChatGPT EDU workspace

K-12 District Workspace Launch Checklist
Use this self-serve checklist to set up a district-managed ChatGPT EDU workspace before broad teacher access. Work through the steps in order, record each decision as you go, and use the completion checks to confirm the workspace is ready for launch.

Audience

District IT leaders, technology administrators, and implementation owners responsible for configuring the workspace before rollout.

Before you start

Make sure you have:
☐ Owner access to the district workspace.
☐ The district-facing workspace name.
☐ An approved district logo or workspace image.
☐ Names and email addresses for the first owners and administrators.
☐ Access to the team that manages DNS and identity systems, if you plan to configure SSO or SCIM.

Confirm you are in the right workspace
  • Accept the workspace invitation
  • Open ChatGPT
  • Use the workspace switcher to confirm you are configuring the district workspace rather than a personal or test workspace (bottom left)

Rename the workspace for staff
  • In workspace settings, update the name to the district-facing name staff should see in ChatGPT.

Add the district logo
  • Upload an approved district logo or workspace image.

Save support identifiers
  • Record the organization ID and workspace ID in launch notes.

Add initial owners and administrators
  • Invite a small setup team
  • Assign “Owner” for full configuration and billing access.
  • Assign “Administrator” for operational management.
  • Assign “Member” or standard access.

Add a workspace policy if needed
  • Add a policy acknowledgment if the district wants staff to accept guidance before using ChatGPT. Cover intended use, data boundaries, output review, and support path.

Configure baseline workspace settings
  • Use the K-12 Workspace Settings guide to configure settings
  • Use Custom Roles to provide additional permissions

Decide how users will be provisioned
  • Use manual invites for a small setup group. 
  • For district-wide rollout, verify the domain, configure SSO, configure SCIM sync, and map groups to roles and shared resources.

Test with a small group
  • Invite a small group that includes IT, instructional leaders, and representative users. Validate the full access flow before inviting all staff.

Document the launch 
  • Create a short internal runbook for the setup team
  • Make note of settings, groups, IDs, and other important information.


Completion check

Your workspace is ready for broader access when the workspace name and logo are final, owners and administrators are assigned, support IDs are recorded, default settings are configured, SSO and provisioning decisions are documented, a small test group has validated the access flow, and the launch team knows where to send issues.
