[00:00:00] Kenna Valdez Hi everyone thank you for joining us today for today's Make Work Flow session on. Building bespoke presentations with ChatGPT Work and a couple of other capabilities. You'll see soon enough. I'm just going to give everyone a moment to get connected to the session before we really kick things off. While we wait in the chat, I don't like asking the same questions. We always ask you can let me know. Who, your favorite superhero is in the chat to say hello today. My kiddos and Spider-Man face. So for me it's got to be Peter Parker. It doesn't have to be a traditional superhero though. So when you see as a hero your favorite. Let me know. Keep things up. And we'll get started here in just a moment. [00:01:48] Kenna Valdez It's summertime it'll be fine all right. I think I'm going to go ahead and kick things off. Because several of you are look like you're settled in. Hi my name is Kenna. I am joined today by Lea and Christina, and we want to welcome you. To make work flow, so this is our series focused on showcasing how real activators which we define. As the people who are designing, building and operationalizing new ways of working with AI do just that. So, whether or not you call yourself, or think of yourself as an AI champion just yet. This series is meant to give you really examples of useful workflows that you can take back in the daft. Not only for yourself, but for your team and tips to help you. Design, build and scale AI workflows effectively. And safely. So today's section q housekeeping items is being recorded? And I will share the recording of the workflow today. In the Champion Network, on OpenAI Academy, where you most likely signed up to attend this session, I will also be in chat. Throughout the session, so please raise your questions as they come up. I'll keep an eye and surface them for myself. And Lea, with the time that we have leftover at the end and we'll try and address as many of your questions as we can. After the presentation today. So in today's make workflow Lea is going to show us how she uses ChatGPT Work, ChatGPT and ChatGPT Work. To turn a customer brief into a meeting strategy, and a tailored slide deck. So Lea I'll hand it over to you.

[00:03:24] Lea Gylys All right, thank you so much. I'm going to go ahead and share my screen here to kick things off. All right, super excited to be here. My name's Lea Gylys, I'm on the AI deployment team here. At OpenAI and I work with a number of customers. At any given time, on crafting really high impact enablement sessions for ChatGPT Work for Codex. For our whole suite of solutions here at OpenAI. So I think, for this session what I would love to do is give you all a sneak. Peek into what some of my workflows look like, as I'm prepping for things like different customer. Interactions. Demos enablement sessions. And I specifically want to start from the beginning. So we have this amazing new, unified experience now in ChatGPT where you have both the chat. Toggle, as well as the work toggle, and so I want to show you how I actually approach. Starting in chat, moving into work and using all of that context to build something like a bespoke presentation. How to even take that a step further, and build something like an interactive account strategy site that you can share with your leadership team that you can share with the rest of the account team and start to really operationalize those workflows. So I am going to first kick off, as I mentioned from the very beginning, and I think the the best way to kind of frame up. This specific scenario is, let's imagine I'm working with a customer named Acme Corporation and I'm specifically prepared preparing for a strategy. And a demo session that's coming up with this customer. So a little bit of context. We have a pretty senior audience that we're preparing this session for, so let's imagine this customers in the telecom industry and we're going to be meeting with the SVP of contact center ops. Maybe the VP of digital transformation. And their head of data and AI. And my high level goal. For for this session is, I want to show how ChatGPT Work can start to really drive efficiency for their contact center agents. I have a customer brief available in Google Drive that I've created based off of what we know about the account. So far, and some of the recent interactions that we've had from them. So just to give you a quick sneak peek at what that looks like. I have a brief here in Google Drive. That first tab is essentially just the account plan. So this is probably obviously something very familiar to any customer facing folks. Here. We've got our account overview, I've added. In what we've heard, they care about some of their different priority. Workflows from an internal efficiency, perspective for their call center teams. Maybe some insights into the value, hypothesis and the measures. And then a couple of other sections here, including some open questions that we want to resolve. So this is sort of my grounding document around what we know about the account what we've done so far. What I first like to kick off with is I love to start in chat. And this is going to just be the chat that we all know and love where we can have these really nice quick interactions and ask questions. Dive into certain topics, my favorite way to start off in chat is to give it some context and actually have it help me. Pressure test some assumptions. So I'm going to paste this prompt here, and I'm actually working out of a project on my desktop app called Lea's demo. For the purposes of this demo, and so I'm creating this chat within that project. And I am going to ask it to go out and look at my Google Drive, using my plugin, and go and find that Acme customer. Brief that I just showed, and I'm giving it some context on what? This session is that I'm prepping for. And the most important part here is. I'm starting off with some of my working assumptions. This is one of my favorite ways to start leveraging AI. At the beginning of a workflow is actually sharing what you already know about. A particular use case, a particular customer situation. And then, having it actually pressure test those assumptions against what it has access to. Which might be Google Drive. It might be a local file. It might be, you know, going out and looking at gong or other call. Recording tools where it can actually ingest some of the recent call information around. That customer, so I'm giving in a couple working assumptions here. The first is that I think the internal agent assistant workflows are probably the best use cases for us to partner on. I think the demo should focus on a couple key areas. And then I want to focus on showing how we can demonstrate value through a controlled pilot. And then I want chat to specifically pressure test. These assumptions going and using that brief that it has access to. So again, starting off in chat mode here and I'm asking it for sort of this quick challenge. Use case challenge me on what I've shared with you. On what those assumptions are, help me think. Outside the box, or maybe I'm not thinking of the full picture here. So, while this is thinking, I'm actually going to show a fully generated version of this. To save a little bit of time, it's that exact same prompt. And I want to show how helpful this initial response is from chat again helping me pressure test those assumptions. So it's addressed each of those assumptions and it's rated the strength as well as comparing what it can actually find as factual evidence. From the brief that it has access to, and then it's highlighted. Some of the gaps in risks of those assumptions, along with questions that I can actually take into the meeting to validate those assumptions. This is a really great way to again start brainstorming with AI. And bringing in your own knowledge, and your own context and use it as again. This thought partner, co collaborator on how to make that session even more impactful and maybe explore some different areas. That you haven't thought of before? Now, this is great, you know. Again, love the sort of quick back and forth. I can have in chat, but let's imagine here now, we've got some context. On some gaps that I have, and that I need to dig into, I want to actually start moving into a more work related task. Which in this case is going to look like an actual meeting outline. For this session it's given me a little bit of context. Here, on what it recommends, we should drive throughout the session. So it's given me the recommended objective. Some of the different stakeholder concerns that I want to address explicitly. And then some decisions to seek. I'm still in chat mode here. And so, now that I want to move into work mode, and actually maybe start using ChatGPT Work to maybe create that meeting outline for me in my account plan. Have it actually push out to my different apps. And you know, start to create collateral for me. What I can do is click on these three little dots, and I can click continue in work mode. And so what that does is it brings over all of this context. From this chat, conversation into work mode. So I can actually start creating different deliverables or outputs. So let me actually. Show you what this looks like. Here it's going to continue. The conversation in work mode. So it's going to pull open all of that context and it's going to let me know. Hey, I've pulled open that context, including again those assumptions how we're going to pressure test those. And some of the different decisions that we need to drill into. What do you want to focus on next? And since we're in work mode, we can really start focusing on things like artifacts, so it's given me some suggestions. Hey should we work on a demo story line? Maybe a deck, a pilot proposal and I'm giving it some more context now. In work mode. And I'm saying, let's let's drill into the demo that we want to wow them with and we've heard a lot about billing confusion. As part of the agent workflow across call centers, that's actually a big pain point for them. And so we need to address how we can help them. On this particular topic, and so in this conversation, I'm asking ChatGPT Work to now actually push some actions out for me. I wanted to actually create a second tab in that customer. Brief and account plan and help me start to put together a working outline of what we want to cover. During that meeting. So it worked for a little over four minutes. And you can actually pull this open. See what tools it used. See that it used that Google Drive plugin. And then it created that second tab for me. And actually linked it out here so let's see what that looks like again. Tab, one is that initial account plan that I ideally you've created. With the rest of the account team with go to market leadership. And then we've used ChatGPT Work here to take that context along with again. Some of those working assumptions that we mentioned and start to create a really robust strategy and demo session. And this is exactly what it sounds like. It's a working outline. It's not meant to be something that you again immediately push to the team. This is this should give you a really good V1 or V2 to get started. And again, have one place to consolidate. What's the evidence? And working hypotheses that we have. What's the proposed meeting? Flow the demo storyline that we're going to want to anchor on. Maybe some measures for the proof. And then, lastly, a couple things that we want to address. Maybe some concerns that are relative to each executive role. Some of the decisions that we also want to seek, and so again polling that in. From that that conversation that we had through chat, and bringing that into something like a meeting outline in a Google Doc. That you can then start to add in your own edits. Add in your own context. But this should get you to a really good starting point. The next thing I want to call out here, moving back to our conversation. Now that we've got this outline. What I'm doing next is, I'm using a number of skills along with the Google Drive. Plugin to create something like a simple five slide presentation. And I wanted to cover a couple of things. You can be a lot more comprehensive for the purposes of this demo. I wanted to keep it pretty light. In terms of the deck that it's creating. But you can give it a ton. More guidance around what? The content should include maybe the different. What the titles of the different slides should be. Any additional data that you want it to break bring in from other applications as well. But for this purpose I've asked it to create. Just a title slide. And then a couple of different areas here. I want it to consolidate. This is what we've heard from you so far. At Acme this is a quick preview of the demo. Deep dive that we want to do again. Anchoring on that billing confusion piece. Since that seems to be the biggest pain point that's been surfaced. And then how will work together in next step? So what this will actually look like in terms of a pilot timeline? And maybe some of the key decisions that we need to figure out before we move into the next phase. And then I even asked it to add, in some natural sounding speaker notes. For each slide and what I'm doing here is actually using a second skill called Write Like Lea that I've created. I want to take a moment here before I jump into the deck, and I want to quickly cover these skills because these are super important. And I highly recommend everyone check these out if they have a chance to. So this first skill now use the OpenAI general starter deck to create a simple five slide presentation. This is a starter deck with our OpenAI brand design guidelines. Now, how did I create this? I'm going to pull open another chat here. And if you at mention the. In work mode, the presentations skill. This is a built in skill that we have to create presentations. A lot of the time you're not going to need to, you know. Explicitly invoke that skill. If you're creating something like a slide deck, ChatGPT Work will know when to invoke that skill. But what I want to call out here is by invoking that skill in a new chat. You're going to be able to pull open this really nice new templates capability. And so I've actually added in that general starter deck, as the template, that I can use. We've got some other templates here, and then they're actually some prebuilt templates. That you can browse if you go. All the way to the right you have the ability to create your own template here. And what this will do when you click on it is you can then send this into ChatGPT. I'll use light mode just to keep things moving. And you can send this in and using this template creator. It's going to explain to you how this template creator skill works. And then it's just going to guide you on uploading the right kind of template. So that I can convert that into a template skill. So this is a nice way to just engage with the template creator. And you can do this not only in presentations, but you can actually do this. In spreadsheets so if I pull open. This spreadsheets, built in skill. You're going to have some templates available here. An operating calendar, a financial budget. And then you also have another option for documents. So that same. Built in skill just for documents. You've got a design rapport, legal memo. Some minimal letterhead, again, that same option to create your own bespoke template as well. So if I wanted to continue this conversation here, I would pull open the right PowerPoint design template. That I want to use for something like customer meetings. I would include that in my response here. And then that template creator would start to create that template for me. And what that'll look like is a skill that you can then invoke in any future conversation. So jumping back. To this skill here. I'll jump right here. As I mentioned, now that that template skill is created, you can invoke it in any conversation. So this skill here was mentioned, and then I also added in a second skill. This skill is called Write Like Lea, and the way that I created. This is through having it look across a number of my connected plugins. So I used Slack teams Gmail and I had it. Consolidate what? My sort of communication, style, or tone of voice is across those connected plugins. And then I had it create that, as a skill that I can then use to create. Something like really natural sounding speaker notes that sound like me that I don't need to go in. And overly refine. Because maybe they sound a little bit, you know. ChatGPT generated so some tips here. You can make this a lot more robust with you know, much longer writing samples. You can bring in copies of writing samples, and have the skill analyze. Those but this is a great way to start creating something like a tone of voice. Skill that you can then apply to speaker notes, or even the actual content. In the deck as well. Awesome, so let's take a look at what this actually created. Again I gave it a little bit of guidance, and I asked it to follow this deck as well as match. Some of my natural communication styles, and then added, added those in, as the speaker notes. So it created both a PowerPoint version as well as a Google Slides version. I'm going to pull open the PowerPoint version. So you can see what this looks like. Again, the template has been used to create a really good structure for me. That I don't need to create from scratch, so it's actually listed out. What we've heard again? These are data points that we've heard, maybe from call recordings. From the account strategy, brief, anything else that it's going to have access to. It's sort of consolidating those as different data points. You can also pull open the speaker notes. So you can have sort of a good understanding of how you want to narrate these metrics to the customer. And then it's even pulled in the different sources that it grabbed. This, from which is super helpful. It's created this nice slide for me. On the billing confusion use case. And how we would approach that. What good looks like in something like a controlled proof. So first contact resolution. Some of these other metrics that they care about. And then it's given me this nice, brief timeline. Slide on the path forward with the customer. And kind of how we can move from step to step. And some of the key decisions that we need to anchor on. Here. Again, I want to call out like this is not something that you would want to. Just. Run and go and deliver to a customer. This should really just get you to a much better starting point. You should always be adding in your own context moving things around that don't feel right. In terms of how you want to present the story? So I think that the biggest mistake that a lot of people make. As these model capabilities advance is that. You know you can create so many more of these shiny looking artifacts. But we always want to be the human in the loop, and we always want to add in our own human judgment. I know this customer best, and while ChatGPT is able to help me synthesize information in a really quick, productive way, ultimately, I own the narrative. I own how this data is being presented. And I also am aware of nuances that AI is maybe not aware of. So I think the key thing I always use this for is a really good sort of starting point and sort of template. That I can then add in all of my own thoughts and context to create some new slides that maybe might be missing. Add in some different kinds of data, points, or language that may be ChatGPT. Wasn't able to pick up just from the connected data that it has access to. But great starting point again. This saves me a bunch of time. Instead of having to create these slides from scratch, I want to also quickly call out. This is actually separate from this use case example. But this is something that's super underrated. That I think people don't really try a lot. Yet. In terms of artifact creation. But ChatGPT Work, combined with our image, generation, capabilities, is out of this world. This is a real customer. Slide that I created. It created all of these visuals for me in just a matter of minutes. It looks super professional, it looks like something that a design team would have created. And so I think, if you want to, up, up, level your presentations, and maybe specific slides or things that you want to kind of. Come to life with maybe some more imagery. Ask it to create some images for things like different use cases that maybe you want to cover. Have it build out flow charts. It's really good at that. I was so impressed at what it created in a couple of minutes for me. Because again, this looks like something that you know. A design team would have made that. I would have had to, you know. Ask someone to create for me so quick plug there. And how you can really up level and use some of the image. Generation capabilities there. Okay, awesome, so I've created this great first version of my customer facing presentation deck. How can we take this a step further? So this is great, for you know prepping for the customer interaction making. Sure, I've got the right sort of narrative down. And presenting the data and a really nice way that feels approachable and easy to follow. How about on the internal side? I've done a bunch of work for the customer. Presentation, and you know the customer facing meeting. But for the account team, and maybe for leadership, how can I actually have a more interactive way to present? Some of this data, and some of the work, or some of the assumptions that we have around this particular customer, we have this awesome feature called sites. Where you can build and deploy websites. And so I can create this really amazing internal site for me and my team. Simply by just at mentioning sites. So, just by at mentioning sites in my prompt. I can give it some pretty brief guidance here, around what I want it to create. Again, you can get a lot more specific. Give it so much more. Guardrails and information on the different things that you want to highlight the structure. The design, but for purposes of this session. I wanted to keep it pretty. Lightweight and I wanted the site to essentially just cover what we've done. So far, with Acme Corporation, I wanted this upcoming meeting to be highlighted. And have easy links out to the brief. And that deck that we just created. And then, having just one central place of leadership, can see hey what are some of the core strategies. Our team's working on to, you know. Drive revenue with this customer. So it created the Acme account strategy. Hub gave me a nice, quick preview. And so I can actually click out to it right here. And so it labeled our site, as the OpenAI account Acme Corporation strategy site. I've got some easy buttons here, where I can review the meeting plan. I can open the meeting deck that's coming up. It's given it's created sort of some nice design on, for example, some of the monthly interactions. The minutes reported some of the different knowledge sources, and then it's highlighted this upcoming strategy session that we have. So the audience, the working source. So I can actually click out directly to this brief if I'm part of the leadership team. And then I can kind of read the more core account strategy here. And what we're focused on so really awesome. Starting point again . This took a couple minutes to generate less than ten minutes, and then, to take this even a step further. I had it to refine a couple of those things. So again, this is just showing. The more iterative nature of you know. Hey, maybe update those titles. A little bit add in some more context here. And then, at the very end, what I did is simply at mention . The Slack plugin I've got an Acme account channel. And I asked it to actually create a draft post for me to that account channel, so it's created a draft for me and accounts Acme giving the team hey quick update. On this session that's coming up. This is what our plan is. This is what the main decision is that we want to come out of the meeting with. And then here are some of the materials that we're working off of. So that meeting outline, and that customer brief, that meeting deck that we created. And then what we're calling. The internal strategy hub. So that the team can take a deeper look post. Post feedback, ask questions. But we have this side sort of nice interactive experience for people to work off. Of this isn't sending anything on my behalf. Again, this is something that I would add in my own context and edits. Make it sound a little bit more like me. But this is a really great starting point in terms of you know, creating something like a Slack ready update that pulls together all of those different artifacts that we just worked on with ChatGPT Work. I'd love to hear on this one from others in chat as well. So this was more specifically how you organize your day-to-day tasks or how you use projects to help organize your your day-to-day tasks. At work.

[00:28:15] Lea Gylys Yeah great question. So I use a lot of my projects around specific initiatives that I'm working on with customers. So I think the beauty of the desktop application, which I'm sure most of you know. But all the workflows that I showed today are cloud based like I'm actually pulling things from mostly Google Drive. You know, pushing some things out to Slack, but you know let's imagine I've got some files on my computer. Maybe it's a contract that I downloaded, or something else that lives locally on my computer. I can actually connect a project to that. That folder on my computer. So, hovering over this codex for legal demo. If I hover over it, you can actually see the folder that it's connected to there. So for this particular project I was preparing a legal demo. And so there were a number of different contracts in a folder. On my computer that I wanted ChatGPT Work to help me synthesize. You know, create a workbook around, take action on create refined outputs of. So that was a really great way to sort of center. That initiative around a particular project. And so, again, the benefit there is. You're able to create that direct connection to files that might live on your computer as well as pull in plugins. So that you can access data that maybe lives in Google Drive or Slack or Gmail or calendar or things like that. So that's that's one way that I like to do it, I think. The other tip that I'll have as well is any sort of conversation where you have reached a very solid output. At the end of it, this might be a good example, right? I've done a lot of stuff. You can actually see all the outputs I've created in this conversation. This is a good inflection point to think. Hey, what could I create? A skill around here, and I think that one of the ones I love. You know, the example that I shared is like the pressure testing assumptions. One like help me create a skill where I don't have to ask you to challenge me like I want that skill to automatically be invoked whenever I'm adding in what? How I'm thinking about a certain customer meeting. And then ChatGPT Work can actually help me fill in the blanks on maybe what? I'm not thinking about in terms of different topics or themes that haven't been explored. And so that's another great way to start really organizing your workflows. And having ChatGPT, just know what you mean when you're interacting with it around. Certain customer situations.

[00:30:52] Kenna Valdez Yeah, a hundred percent. And this, I think, actually addresses a couple of the other questions. In the chat about helping streamline, generating presentations and make that a little bit sapier. And how you come back to ChatGPT Work once the artifact has been generated and you've applied your edits and you kind of want to have a running process for improving that skill. We call this skill hardening, and another make workflow session. There's a clip of that in the Champion Community. On OpenAI Academy. If you want to see that kind of applied to another use case. And we also talked about this in terms of like having a Markdown file where you keep track of some of your design. Preferences that you could just kind of always use when you're working with chat.
